But Dabbs dismisses any insinuation that GPO infl uence and usage


is tantamount to outsourcing decisions and deferring responsibilities. “One can join a GPO, but you only get out what you put in to it,”


Dabbs indicated. “Premier has been great with presenting opportunity but it is up to us to utilize them. If we experience issues Premier has always assisted with working them out. We activate the contracts that best suit us, but it is up to us to make sure we are compliant and experiencing the correct pricing.” They accomplish the pricing angle through GHX and its NuVia virtual item master program.


Financial accountability With Procurement, Sourcing and Accounts Payable in close proxim- ity, Supply Chain sought to repair its invoice payment history, which languished in the 29-day realm. Each Friday, Supply Chain holds an “Exceptions Workshop” where


the scheduled accounts payable specialist meets with other staff in the training room to review and resolve any lingering invoice issues. “We schedule each Procurement Agent and Sourcing Specialist to


have an hour-long session with the A/P Specialist in a room where everyone has access to a PC with two monitors and a phone,” Dabbs said. “This collaborative effort has provided for speedier invoice pay- ments, and terms are met on the larger scale.” In early 2012, they switched to optical character recognition (OCR)


technology to scan and match invoices to the purchase order, and subsequent check payment processing. “What was once a 100 percent manual operation, from opening of


the mail to check payment, is now fully automated,” Dabbs refl ected. “Automation was needed to improve this process. The manual process made it possible for invoices to go everywhere in our System and thus slow down the payment process. We as a System pride ourselves on the use of technology; therefore, we had an opportunity to improve. We now have a single remit-to address that all invoices must be sent to. The imaging system allows for our customers to see their invoices immedi- ately upon scanning so they can approve them.” The OCR technology is run through their Infor (Lawson) supply chain information system. All invoices are sent to a single location where they are scanned

into the system, Dabbs explained. Anything that matches completely is forwarded to the next check run date. If there are discrepancies of any kind, the invoice automatically routes to the appropriate director for approval via the imaging system. Customers then approve their invoices by logging in to the software and simply approving. The system allows for full visibility so that Supply Chain can be deployed quickly to help resolve any issues. Dabbs admits they stumbled over a few roadblocks at fi rst. “The challenge was to overcome the culture of having a manual process,” he said. “Staff needed to learn how to trust the system and evolve. Also, training hundreds of users was a challenge. Logistically, we couldn’t have one-on-one training, so a descriptive email was sent to the staff that would use the system. As we implemented the system
